Position Overview
We are seeking a friendly, professional, and patient-focused Medical Receptionist to serve as the welcoming first point of contact for patients and visitors. This front-office healthcare position will be responsible for providing excellent customer service while supporting patient registration, scheduling, phone communication, payments, referrals, and general administrative needs.

Key Responsibilities
- Greet patients and visitors and provide a warm, welcoming experience
- Register patients and maintain accurate demographic and account information
- Schedule, reschedule, and coordinate appointments and procedures
- Answer incoming phone calls, provide routine information, and route messages appropriately
- Collect co-pays, account balances, and other patient payments
- Utilize the Electronic Medical Record (EMR) system to access and update patient information
- Assist with release-of-information forms and required authorizations
- Process incoming and outgoing mail
- Provide general administrative and clerical support to the clinic
- Maintain patient confidentiality and follow all applicable safety and privacy protocols
- Communicate and collaborate effectively with providers, clinical staff, and other departments
- Identify potential issues and assist with process improvements
- Provide support to other clinics and departments as needed
Dermatology Referral Responsibilities
This position will also provide administrative support related to dermatology referrals, including:
- Review and process incoming referrals
- Route referrals to the appropriate clinic or location
- Schedule referrals for Wausau and Houghton, MI locations
- Manage outgoing referrals and ensure they are processed in a timely manner
- Complete prior authorizations as needed
- Assist other clinics with referral-related questions and processes
- Follow up on referral information to ensure accurate and timely scheduling
Ideal Candidate
The ideal candidate will be personable, organized, detail-oriented, and comfortable working in a patient-facing healthcare environment. Medical office experience is preferred, but strong customer service experience may also be considered.
Qualifications include:
- High school diploma or GED required
- At least 1 year of customer service or healthcare experience preferred
- Previous medical reception, patient access, scheduling, or healthcare administrative experience is a plus
- Basic computer and keyboarding skills
- Ability to learn and navigate EMR and other healthcare systems
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Strong attention to detail and accuracy
- Ability to maintain confidentiality when handling sensitive patient information
- Comfortable multitasking and prioritizing responsibilities in a fast-paced environment
- Professional, dependable, and team-oriented approach
- Ability to work effectively with patients, families, providers, and coworkers
