About the Role
We are looking for a personable, organized, and technology-savvy Director of First Impressions to serve as a key point of contact for clients and support a team of Financial Advisors. This is much more than a traditional receptionist role, you’ll help create a welcoming and professional experience while keeping a fast-paced office organized and running smoothly.
What You’ll Do
In this role, you’ll manage calendars and scheduling for 4–5 Financial Advisors, who may be working from different locations. You’ll coordinate client appointments, internal meetings, and other scheduling needs while keeping track of multiple priorities and ensuring everyone is where they need to be.
You’ll also prepare for upcoming client appointments by organizing documents and completing initial screens with clients. You’ll be working with clients throughout a variety of situations, so the ability to listen, communicate with empathy, and remain calm and professional when conversations become stressful or sensitive is important.
Additional responsibilities include maintaining a professional and welcoming reception area and conference rooms, answering and managing incoming phone calls, and supporting the team with various administrative needs.
